1. Information We Collect
Account Information: When you create an account, we collect your name and email address through our authentication provider (Google OAuth or email/password via Supabase Auth).
Uploaded Documents: You may upload PDF files and images of recorded instruments (deeds, leases, assignments, etc.) for automated data extraction. Original files are processed in memory and are not permanently stored on our servers. Only the extracted structured text data (grantor, grantee, legal description, dates, etc.) is saved to your account.
Usage Data: We collect basic usage analytics including pages visited, features used, and error logs to improve the service. We use Sentry for error monitoring and Vercel Analytics for performance data.
2. How We Use Your Information
- To provide and maintain the TractSheet service
- To process your uploaded documents and generate runsheet data
- To authenticate your identity and manage your account
- To process payments through Stripe (we do not store credit card numbers)
- To send transactional emails related to your account
- To monitor and improve service reliability and performance
3. Document Processing
Documents you upload are sent to a third-party API for text extraction and analysis. The provider's data usage policies apply to this processing. We use the API in a manner where your data is not used to train the provider's models. Extracted data is returned to TractSheet and stored in your account. The original document content is not retained by TractSheet after processing is complete.
4. Data Storage and Security
Your account data and extracted document data are stored in Supabase (hosted on AWS). All data is encrypted in transit (TLS 1.2+) and at rest. Row-level security ensures you can only access your own data. We do not sell, share, or provide your data to third parties for marketing purposes.
5. Third-Party Services
We use the following third-party services:
- Supabase: Authentication and database hosting
- Third-party extraction API: Document text extraction and analysis
- Stripe: Payment processing
- Vercel: Application hosting and deployment
- Sentry: Error monitoring (no personal data is intentionally sent)
6. Your Rights
You may:
- Access all data associated with your account from the dashboard
- Export your extracted data at any time via CSV export
- Request deletion of your account and all associated data
- Opt out of non-essential analytics

7. Cookies
We use essential cookies for authentication session management. We do not use third-party advertising or tracking cookies.
8. Changes to This Policy
We may update this policy from time to time. Changes will be posted on this page with an updated revision date. Continued use of the service after changes constitutes acceptance of the revised policy.
